Withthe increasing shift to remote office work and the need for effective collaboration with external partners and customers, Creaholic faced the challenge of optimizing secure and flexible access to data.
Moving forward with a clear vision
The aim of the project was to restructure the data organization so that it is easier to access and enables collaborative work. Moving away from traditional file systems towards modern data storage in a collaborative system. Furthermore, the data organization was to be adapted to the company structure and integrated into the existing Microsoft ecosystem.
Creating the foundation together
The project began with intensive collaboration between the Raptus team and Creaholic. The current data structure was analyzed and new and future requirements were defined. This step was crucial in order to develop customized solutions that exactly matched the company's needs. A strong focus was placed on the project organization, as Creaholic primarily works within projects.
But which is the right system?
In order to find the best possible solution, a comprehensive market analysis of existing technologies was carried out. Microsoft SharePoint was chosen over Dropbox and GoogleDrive because it could be optimally integrated into the existing Microsoft ecosystem. This enabled seamless work processes and improved collaboration, for example through the simultaneous editing of project descriptions from anywhere and by anyone. Be it among colleagues, with clients or even with the entire team.
Structure for the future
A new data structure was defined and implemented based on Creaholic's project organization and taking into account the corporate culture. Microsoft SharePoint served as the central data repository, which enabled efficient and secure data management and was a perfect fit with the existing systems. This new structure improved data organization and promoted collaboration within the company.
As the business grows, so does the number of projects and therefore data. The solution and structure must be able to cope with the increasing requirements.
Smooth transition without interruption
The existing data was seamlessly transferred to Microsoft SharePoint without interrupting ongoing operations. This was particularly important to ensure that work continued uninterrupted and no valuable information was lost. The careful planning and execution of the data migration minimized risks and guaranteed a smooth transition.
Sharing knowledge and offering support
After the changeover, comprehensive training was offered to employees to make it easier to use the new platform and ensure that all the benefits of Microsoft SharePoint could be fully exploited. In addition, Raptus provided ongoing support to respond immediately to any questions or issues. This helped to increase acceptance of the new technology and ensure a smooth transition.
